Orders & Shipping
When will my order ship?
Our coffee is roasted at the farm and then shipped, so ship times vary by lot and origin. We send you tracking by email as soon as your order is on its way, and any delivery estimate starts from the ship date.
How much is shipping?
Shipping is calculated at checkout based on your address and the weight of your order — you’ll see the exact cost before you pay.
Which carriers do you use?
Within the United States we ship via USPS, UPS, or FedEx. Internationally we ship via DHL Express.
Do you ship internationally?
Yes, to many countries via DHL Express. Shipping is calculated at checkout. See “Will I pay duties and taxes?” below, and note that some countries are unavailable at checkout because of their import rules.
Can I change my order or shipping address after I’ve placed it?
Email us at hello@rubiareserve.com as soon as possible. We can usually help before your order ships, but not after.
Returns & Changes
Can I return my coffee?
Because coffee is a perishable food product, we can’t accept returns or exchanges of roasted coffee, and we can’t refund for a change of mind or a taste preference. If something is wrong with your order, see the next two questions — we’ll make it right.
What if I got the wrong item, or my coffee has a defect?
Email hello@rubiareserve.com within 7 days of delivery with: (1) your order number, (2) the roast-date or lot code on the bag, and (3) a photo of the item or issue. We’ll replace it or refund it.
What if my package is damaged or lost?
For damage, email us within 7 days with your order number and photos of the package and contents, and we’ll arrange a replacement or refund. For a package that tracking shows as delivered but you can’t find, contact us and we’ll help you open a claim with the carrier.
Can I cancel my order?
Yes — email hello@rubiareserve.com any time before your order ships and we’ll cancel and refund it in full. Once it has shipped, it can’t be cancelled.
Duties, Taxes & International
Will I pay duties and taxes on an international order?
In most cases, yes. International orders ship on DAP (Delivered at Place) terms, which means import duties, VAT, GST, or customs fees charged by your country are not included in our prices and are your responsibility. DHL Express will contact you to collect any charges before or at delivery. Duties and taxes aren’t refundable by us, so we recommend checking your country’s import rules before ordering.
Can you ship to my country?
We ship to many countries, but some have import rules — such as requiring a local food importer or registration — that make direct delivery unreliable, so those destinations are turned off at checkout. If your country isn’t available when you check out, that’s why. Email hello@rubiareserve.com if you’re unsure.
The Coffee
What does “single lot” mean?
Each lot is a distinct harvest from a single farm or micro-region, kept separate from bean to bag. When a lot is gone, it’s gone — we don’t blend in other beans to stretch supply.
Where do I choose the roast level, grind, and size?
On each coffee’s product page. The roast levels, grind options, and bag sizes available for a given coffee are shown there before you add it to your cart.
Do you sell green (unroasted) coffee?
Not to retail customers — we sell roasted coffee only on the website. Licensed commercial roasters can ask about green coffee through our wholesale program.
Sourcing
How do you source your coffee?
Our founders visit the farm, taste the harvest, and walk the mill before we buy. There are no third-party brokers between us and the farm.
Is Rubia Reserve coffee sold anywhere else?
Our coffee is sold through this website and to our wholesale partners. If you’d like to carry it, see the Wholesale section below.
Brewing & Storage
How should I store my coffee?
Keep it in the sealed bag, away from heat, light, and moisture, and grind just before brewing. For the best flavor, enjoy it within a few weeks of opening.
How long does roasted coffee stay fresh?
Roasted whole beans are at their best in the first couple of weeks after roasting. Ground coffee fades faster, so grind as you go.
What’s the best way to brew it?
A clean filter method — pour-over or drip — at about a 1-to-15 coffee-to-water ratio brings out the natural sweetness and balance in our coffees.
Wholesale
Do you sell wholesale to cafes or roasters?
Yes — we work with specialty cafes and licensed roasters. Apply through our wholesale page and we’ll be in touch. Wholesale orders are covered by a separate wholesale agreement, not our consumer Terms of Service.
What are your wholesale minimums?
Minimums depend on the coffee and the program. Reach out through the wholesale application and we’ll walk you through current options.
Can wholesale buyers purchase green coffee?
Yes — green coffee is available to licensed commercial roasters. Ask through the wholesale application.
